Talkflow
creates many benefits for organizations of all sizes:
1. Talkflow gives your organization the tool it needs to structuralize
and take control of the communication systems you choose. Talkflow
can be customized to fit your needs - including mail sorting and handling, telephone
receptioning, call center applications, Customer Relationship Management systems,
mail digitization systems, workflow processes, etc.
2. Talkflow takes existing organic, poorly understood
routing knowledge and creates reportable, understandable organizational knowledge.
For example, typically, the primary receptionist or mail handler has been trained
over months or years to route communications in the manner the office requires.
If this person leaves the organization, or is unavailable for any reason, the
organization does not have access to that skill set. Talkflow provides
a system that not only captures all the desired routing rules, making them accessible
to the entire office, but also allows even new or untrained employees to handle
mail exactly according to the offices requirements by using the systems
learned knowledge base.
3. Talkflow puts the individual recipients in
control of their own communications. The software's end-recipient user
interface, Biograf, gives each office or recipient the ability to tell
the system what types of communications or even what types of issues should
be handled in what way. This enables per-office or per-recipient prioritization
and allows as much control as each recipient requires. There is no need for
all recipients to agree upon a single routing standard, unless that is desired
as a matter of policy.
4. Allows differentiation by multiple characteristics,
even content. Currently, mail routing is wholly
dependent on the addressee - putting routing control into the hands of the SENDER,
not the proposed recipients! Similarly, most automated phone answering systems
force the caller to self-classify their issue by wading through irritating decision
trees. Talkflow, via easy-to-use translational language routing
tables, can route communications based on all relevant criteria - including
even the actual content of the communication. (Note that standard routing is
still supported.)
5. Talkflow turns communication routing and handling
into an auditable rule-based system. Systematizing the communication
sorting and routing process enables the organization as a whole, as well as
individuals and offices, to become more efficient over time, making communication
routing more convenient, faster, and less wasteful of valuable resources. Using
rules to route communications also enables direct interface with workflow processing,
efficiency tracking, and auditing.
6. In mail digitization systems, the pre-processing
controls will dramatically cut the amount of mail that needs to be digitized.
I.e., some individuals may want all mail digitized, but others may wish to forward
some mail in hardcopy , destroy other types, and digitize the rest. Talkflow
facilitates this process, contributing direct cost savings by reducing the volume
of mail that needs to be digitized.
